What company photography costs, counting the parts that never reach the invoice
Ask what corporate photography costs and you get a rate per head. It is the least useful number in the exercise.
The costs that appear nowhere
Everyone's hour. Forty people at fifteen minutes each, plus getting to wherever the room is, plus the time afterwards spent looking at results. That is more than a working day of salaried time and it lands on no budget line.
The coordinator. Someone books the room, chases the invitations, handles the six reschedules, and answers the person who does not want to be photographed. Real work, nobody's job.
The half-life. The session ages at whatever rate the team turns over. At a fifth a year, the grid is visibly wrong within twelve months and the replacements will not match, because the conditions cannot be reproduced.
What photographers actually charge is the starting figure and worth knowing before comparing anything.
Where the arithmetic flips
Under a tenth turnover a year, a session every couple of years is fine and probably better than the alternatives. Above that you are buying an event to solve a recurring problem, and the recurring option wins on cost by the second year without being better photography.
Three things to settle before signing
Who owns the files. Photographers frequently license use rather than transfer ownership, and "we have the photographs" is narrower than "we can use them anywhere". Get it in writing.
What happens if the output is unusable. The least dramatic item and the most likely. The refund position is better read before you need it than after.
Who declines, and what the page shows instead. There is always someone. Design the placeholder deliberately: initials on a colour works, a grey silhouette reads as "person missing".
The gift case, which is genuinely different
Offering this as a benefit rather than mandating it changes the reception entirely. The output is identical; the experience is not, and it decides whether the person who would rather not be photographed feels looked after or cornered.
Gift cards also solve the practical awkwardness of needing someone's selfies before you can give them anything.

The number I would compare instead
Cost per usable photograph, not per session. A cheap run returning three you would use is more expensive than a dearer one returning twelve, and nobody quotes that figure, including us.
